1. Introduction

1.1 This Privacy Policy pertains to the use of the PLACEMINT (PTY)LTD (K2022001054 SOUTH AFRICA) company’s website entitled “Placemint” (the website) by users and form an integral part thereof.

1.2 The purpose of the website is to allow users to gain a better understanding of the South African medical doctor internship program and provide a centralised platform for South African medical doctor interns to organise trading placement positions, while providing protection for each user’s right to privacy. PLACEMINT (PTY)LTD (K2022001054 SOUTH AFRICA) subscribes to the protective mechanism contained in and legislated for in the Constitution of the Republic of South Africa (Act 108 of 1996) and various other guidelines.

1.3 The use of the website and its functions described in this privacy policy is currently restricted to the territory of the Republic of South Africa.

1.4 Important: please read this Privacy Policy of use in conjunction with the Terms and Conditions of use for the website. The Terms and Conditions of use also governs and applies to your use of the website and is incorporated herein by this reference.

1.5 By accessing the website, the user declares that he or she has understood and accepted the following privacy policy as well as those set out in the Terms and Conditions of use. If the user does not agree to these policies, then the website is not to be used.

2. Data Protection

2.1 Every person has the right to privacy and to be protected against misuse of their personal data. Personal data and information is only requested where necessary and is treated in strict confidence and in accordance with the Privacy Policy.

2.2 The provisions and safeguards in the Protection of Personal Information Act, 2013 (Act No. 4 of 2013) have been used as a benchmark for the protection of the right to privacy.

2.3 In close collaboration with their service providers, PLACEMINT (PTY)LTD (K2022001054 SOUTH AFRICA) make every effort to protect data against unauthorised access, loss, misuse or falsification.

2.4 We will not sell your data or share your data with third parties.

3. What data is accessed and collected

3.1 Your privacy is protected. The app is not capable of:

3.1.1 Using your GPS location to track your location;

3.1.2 Being used by law enforcement to identify or track you;

3.1.3 Accessing personal information or data saved on the device you use to access the website (i.e. your emails, messages, or phone contacts); and

3.1.4 Discovering your name or address.

3.2 The app does record specific information in an encrypted, anonymous and de-identified form. This is detailed below

3.2.1 Your Google Account Information

Users are expected to signup to use the services offered by Placemint with the Google Accounts. We use your Google Account as an easy way to verify and authenticate users. The data that is collected from your Google Account is your email and your Display Name – this is typically the users full name. Your email which is linked to your google account is stored. Your display name is not stored by our servers and is accessed upon connection with your google account to the service.

3.2.2 Your top five preferred internship placement facilities.

Users are encouraged to select their top five internship placement facilities using the Placement Picker feature of the website. This is entirely optional for the user. The list of facilities chosen by the user will be linked to the user’s account. The list may be altered at any time. This data is used to create an estimate of how many users are interested/intending to apply to each facility listed on the website for medical internship.

3.2.3 placement swap request data

We store which swap requests you are interested in – as marked by the user - as well as the swap requests which you have created.

Each request is required to have a facility that the user wants to swap from and a facility that the user wants to swap to. The request is linked to user inputted contact details and provides an optional text field to enter a message regarding why the user wants to make this swap. Additional meta-data with each request is also stored: the date and time that the request was created, the date and time that the request will expire, the number of users who are interested in that request. Each request has a status: active, resolved, or expired.

When you create a request that request will be active until the request is either expired or resolved (the request life-cycle). The user who made the request can view the request message and the entered contact details at any point within the request life-cycle. If a user does not own the specific request they may only view the contact details and message associated with the request if two conditions are met: (1) the request status is currently active, and (2) the user has marked their interest on that request.

3.3 This data is anonymized and is kept on a centralized server.

4. Deleting user data and deleting user accounts

Use of the website can be terminated by the user at any time by not accessing the website. Users are free to delete their account and all data linked to that account (placement preferences, user requests, etc.) at any time by clicking and confirming on the “Delete My Account” button.

5. Users duties of care

5.1 Users are solely responsible for technical access of the website for all information provided.

5.2 Users are required to take reasonable security measures to protect their own devices against unauthorised access by third parties and against malware. These steps include, but are not limited to, having a passcode to open your device, and to practice caution when downloading software onto the device (i.e. always make sure it is from a trusted source)

5.3 The user’s attention is hereby drawn to the security risks associated with use of the internet and of internet technologies.

5.4 Users are required to check any data they enter for completeness and correctness

5.5 When using the website, users are responsible for complying with any applicable legal provisions and those laid out in the Terms and Conditions of use.

6. Final Provisions

6.1 By using this website you will be deemed to have read, understood, and agreed to the Terms and Conditions and declarations of use as well as these Privacy Policies.

6.2 PLACEMINT (PTY)LTD (K2022001054 SOUTH AFRICA) reserves the right to amend or add to these Privacy Policies at any time. The new policies will be communicated to users through the website.

6.3 Should one provision of the Privacy Policy be invalid or inoperative, the other provisions thereof shall not be affected.

6.4 You are deemed to be within the borders of South Africa and therefore South Africa Law will apply to this Agreement and any other matter that may arise with PLACEMINT (PTY)LTD (K2022001054 SOUTH AFRICA).
